Terms & Conditions

Hazerdous Materials

Federal law forbids the carriage of certain hazardous materials, such as aerosols, fireworks, and flammable liquids, aboard the aircraft. If you do not understand these restrictions, contact your airline or go to http://www.faa.gov/about/initiatives/hazmat_safety/.

Passports and Visas

It is your responsibility to ensure that you have the appropriate travel documents for entry into the countries you are visiting. You must check with the respective consulate’s to determine what passports and/or visas are required for entry into the countries you are visiting. Passports must be valid for at least 6 months beyond your departure date.

Travel Documents

You will receive an email advising your documents are ready to be printed electronically. You must print all of your documents and ensure you carry these vouchers with you on your trip. Your vouchers are in lieu of payment and must be presented at time of service. Packages that included certain rail tickets and some select sightseeing services will be shipped direclty to you. Signature will be required for these documents and you must provide us with a day time delivery address. When your package is shipped and email containing your tracking number will be emailed so you will know when to expect delivery. Changes made to delivery address after shipment will be responsible for a $12 fee.

Terms & Conditions

PASSPORTS: Everyone, including children and infants, MUST have a VALID passport to travel internationally (not Passport Card). Failure to comply will result in denial of boarding, no refund, no exceptions (out of the USA). Freedom Travel Planners is NOT responsible for passports in ANY way. Passports are required to be valid for 6 months from your return date. PASSPORT CARDS ARE NOT VALID FOR TRAVEL INTERNATIONALLY VIA AIR!

HONEYMOON & ANNIVERSARY TRAVELERS: You MUST bring a copy of your marriage certificate to qualify for any complimentary honeymoon/anniversary package (photo copy is recommended). Failure to have such proof of marriage will result in the resort denying these complimentary privileges (if applicable). PLEASE notify your Freedom Travel Planners agent if you are celebrating a Honeymoon or Anniversary so that they can annotate this in your reservation. Typically resort will honor these packages up to 30 days before or after your honeymoon/anniversary date.

CHANGES TO RESERVATIONS: ANY changes made to your existing room reservation are subject to the current rates, promotions, and terms at the time of change.

Despite the countless hours invested into planning this trip, the circumstance may arise where we must make changes to the trip itinerary.

For example, maybe we might find out that our hotel is performing maintenance, does not have enough rooms of a certain type or maybe our airline may go belly up bankrupt (this has actually happened)!

Whatever occurs we will do everything in our powers to ensure the trip goes on as planned. And if we do have to make a change, that change will result in you going on a trip that is equal or greater than the value of what you originally paid!

Alternate Hotels

Sometimes we are unable to confirm the hotel(s) you have requested, in which case we will confirm an alternate hotel(s). You will be emailed an given up to 24 hours to advise if the alternate hotel(s) is acceptable.

We ask that you review the alternate hotel(s) carefully to ensure that it meets your expectations. If we do not hear back from you with in 24 hours we will assume you have accepted the alternate hotel(s) and will proceed with your reservation. Please note that there may be a variance in the package price.

 

Change Fees: Change of services in a booking made 60 days prior to departure are subject to a fee of $150 per person plus any supplier fees. This fee is waived if the change is to purchase additional services for the booking. Airline, hotel, rail, and car rental penalties may apply and may be up to 100% of the full price. Any revisions to a booking may result in the loss of a confirmed airline reservation or an increased airfare which will be payable by the passenger. No changes are permitted 14 days prior to travel.

FINAL PAYMENT: The final payment MUST be received NO LATER THAN 45 days prior to departure. Final payments are not automatically charged. Please note your calendar of this final payment date as reminders may not be sent, however we try to send reminders about a week before it’s due. You must go to www.freedomtravelplanners.com on the date you’d like the payment to be posted. Freedom Travel Planners is not responsible for cancellations due to payments made after this date. Late fees will apply.

If Freedom Travel Planners is unable to charge the required payment to the credit card provided, the reservation will automatically cancel and we reserve the right to retain any monies received with respect to your reservation.

Prices: Freedom Travel Planners reserves the right to adjust prices without notice according to exchange rate fluctuations, airline surcharges or any increase in vendor rates prior to payment in full. The following are not included in the vacation price: port taxes; passports; visas and vaccinations; tips to your tour director, host, driver, local guides, and/or ships’ crew; gratuities on ferries, trains, and cruise ships; laundry; telephone; mini-bar; alcohol, beverages, and food outside of the contracted Freedom Travel Planners menu as presented at a hotel or restaurant (these extra items will be billed to you before leaving the hotel or restaurant); optional excursions; airport transfers on non-qualifying flights; porter age at airports and train stations; carrier baggage fees; and all other items of a personal nature.

CANCELLATION PENALTIES: Pertaining to the room portion of your trip; once your reservation is made a $150 nonrefundable penalty will be assessed up until any additional resort penalties take effect. The aforementioned is per person or entire room canceling (so if 1 person within the room cancels these same rules apply for that person). Regarding Airline tickets: if Freedom Travel Planners booked your tickets, they are 100% non- refundable and subject to individual airline penalties/fees (see insurance below).

If 1 person on a double occupancy reservation cancels or does not pay their half of the amount due by the payment deadline the entire booking will be cancelled and both people on the booking will lose their deposits.

Deposit: Deposits my not be refunded if not cancelled within the cancellation period.

Cancellation of Trip 180 Days Prior to departure deposit will be refunded

Cancellation of Trip Within 180 days of departure deposit will not be refunded

Your deposit to Freedom Travel Planners constitutes acceptance of these Terms and Conditions and you agree to waive any charge back rights.

LATE FEES: Final payments not received prior to the due date above will incur a $25 per person late fee, (this may not apply to all reservations). All reservations are subject to cancellation and hotel penalties as described above if final payment is not received on the due date. Late fees are not covered by the travel insurance and are always non-refundable.

All the above would be protected with the optional Travel Insurance with the exception of late fees. If you do not have insurance – natural disasters (such as hurricanes), cancellations for ANY reason (medical/personal emergencies, cancelation of the wedding, etc.) do not relieve you from these penalties. ONLY the Travel Insurance will ensure you coverage. All cancellations must be received in writing.

CANCEL FOR ANY REASON TRAVEL INSURANCE: Cancel for Any Reason Insurance can only be purchased at the time your reservation is made; it cannot be added after the initial trip deposit is received. Cancel for Any Reason Insurance is $64 to $250+ per adult, $50+ per child (2 to 12yrs of age at time of travel). Your Freedom Travel Planners Agent will quote your insurance policy cost upon initial trip quote.
Cancel for Any Reason Insurance will allow you to cancel for any reason up to the morning of departure (prior to flight departure) with full refund (minus insurance policy cost), provides up to $800 per person baggage loss, up to
$100 per person trip delay or interruption (weather & mechanical reasons) & up to $5k per person medical expenses (secondary policy). Insurance does NOT cover items you purchase outside Freedom Travel Planners (i.e. airfare, tours, excursions etc). Please Note: if you initially reserve a room only package & add airfare to the package through Freedom Travel Planners at a later date your cancel for any reason insurance policy cost will be adjusted to accommodate the revised total trip package cost at that time.
This plan does not include increased rates associated with a change in the number of individuals occupying a room. If the number of individual occupying a room changes, the remaining travelers will be responsible for any additional costs incurred as a result of the change in the per-person occupancy rate.

TRAVELING WITH CHILDREN: Children under 18 years of age not traveling with both parents or legal guardian(s) may need to present a notarized letter from the absent parent/guardian granting permission to travel outside the United States and provide emergency medical care if necessary. Freedom Travel Planners is not responsible for lack of compliance to provide proper documentation to airport authorities. It is the responsibility of the traveler & the traveler’s parents/guardians to provide proper documentation to airport authorities.

TRAVEL DOCUMENTS: Travel documents will be sent to you no later than ten (10) days prior to departure date. Please read through these documents immediately; misprints, misspellings, incorrect dates etc. are not the responsibility of Freedom Travel Planners Included in your travel documents (if airfare is purchased through Freedom Travel Planners) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets). Boarding passes are printed at the time of check in; online with the airline directly, or at the airport when showing passport & checking in luggage. It is very important that you take your travel documents with you in addition to passports and a major credit card for any baggage fees that may apply.

BAGGAGE FEES: Due to continual changes in airline baggage policies it is suggested that you inquire with your airline’s website for up-to-date fees & information. Freedom Travel Planners is NOT responsible for additional fees incurred for baggage or seating. BAGGAGE FEES ARE NOT PART OF AN ALL-INCLUSIVE PACKAGE!

Air Arrangements: Freedom Travel Planners is not responsible if an airline cancels, reschedules, or delays a flight for any reason. It is your responsibility to work with the airline on which you are ticketed to reach your destination. Freedom Travel Planners is not responsible for any additional expenses you may incur prior to joining your trip. Freedom Travel Planners is not responsible for and will not provide any refund for portions of trips missed due to canceled, rescheduled, or delayed flights. For air purchased through Freedom Travel Planners, if any air schedule requires an overnight stay in a gateway city, Freedom Travel Planners can assist you with hotel reservations; however, the costs of the overnight stay (including hotel and meals) are at your expense. Air routings are subject to availability. Routings are not guaranteed and are subject to change at any time. If you make your own flight arrangements, Freedom Travel Planners will not be responsible for any loss resulting from cancellation or changes in international gateways or travel dates and we therefore recommend that you do not purchase airline tickets with high penalty charges for changes.

RE-CONFIRM YOUR FLIGHTS: Freedom Travel Planners advises you personally re-confirm your flight schedule within 24 hours prior to departure directly with the airline in case of any last minute changes or delays. Most airlines allow you to check in online 24 hours prior to departure using the “Record Locator” (found in your Freedom Travel Planners documents)

AIRLINE CHECK IN: Please check in with your airline at the airport no later than two (2) hours prior to scheduled flight departure time.

RESORT CHECK IN: Check-in time at most resorts is 3:00pm (local time). If you arrive prior to 3:00pm your room may not be ready. The resort will store your luggage in a secure location on property so you may start enjoying your vacation without delay. Change into something more comfortable and enjoy a nice lunch, swim in the pool, walk along the beach, etc. until you are notified that your room accommodation is ready for check in.

Hotels: Any service issues affecting the quality of a guest’s hotel stay must be addressed directly with hotel management. For example, while a hotel normally may offer a particular feature such as air conditioning, Freedom Travel Planners cannot guarantee that the service will be in operation at any given time and cannot be held responsible for any such lack of operation at the time of stay. Please note that accommodation check-in times vary worldwide.

DRESS CODE: ** MEN ** – Please be advised that some resort restaurants may require long pants, collared shirt, &
Closed-toe shoes. Please pack accordingly.

Participation: For the benefit of everyone on your vacation, Freedom Travel Planners reserves the right to accept or reject any vacation participant and to remove any participant whose conduct is deemed unacceptable to Freedom Travel Planners. We will not refund nor cover any cost or expenses you incur if we have to terminate your vacation arrangements due to your unacceptable behavior.

Accuracy of Information: (A) The information contained on our website is correct to the best of our belief, but we accept no liability for any inaccuracies contained therein; (B) Any information or advice provided by us on matters such as permits, visas, vaccinations, climate, clothing, baggage, special equipment, etc. is given in good faith but without responsibility on our part.

Risks and Warnings: For information regarding possible dangers at international destinations, contact the Travel Advisory Section of the US State Department, (202) 647-5225, Travel Advisory Section. For medical information, contact the Center for Disease Control, (404) 332-4559, cdc.gov/travel.

Responsibility: The Company is an independent company licensed to market and distribute travel products under the “Freedom Travel Planners or Freedom Travel Planners” brand name, and arrange for the vacation services offered on this website, including transportation, sightseeing, and accommodations through independent contracts. The Company and its affiliates are not responsible for any acts and / or omissions of suppliers, their employees, agents or representatives. The air carriers, accommodations, and other suppliers (including but not limited to trains, cruises, ferries, motor coaches, hotels, and restaurants) providing services are independent contractors and are not agents, employees, servants, or joint venturers of the Company or its affiliates. All certificates and other travel documents for services issued by the Company are subject to the Terms and Conditions specified by the supplier, which are available upon request, and to the laws of the countries in which the services are supplied. The Company, its agents, officers and/or suppliers of services pursuant to, or in connection with these itineraries, is acting only as agent for the companies, corporations or person providing or offering travel services of any means, or in making arrangements for hotels, transportation, restaurants, or any other service, and does not assume any liability whatsoever for any injury, damage, death, loss, accident or delay to person or property due to an act of negligence or default of others, including any hotel, carrier, restaurant, company or person rendering any of the services included in the tour, or by act of God.  Further, no responsibilities are accepted for any damage or delay due to sickness, pilferage, labor disputes, machinery breakdown, quarantine, government restraints, weather or other causes beyond Company’s control. No responsibility is accepted for any additional expense, omissions, delays, re-routing or acts of any government or authority.
Safety: Please be aware that during your participation in vacations operated by the Company, certain risks and dangers may arise beyond our control, including but not limited to: the hazards of traveling in undeveloped areas; travel by boat, train, automobile, aircraft, or other means of transportation; the forces of nature; political unrest; acts of lawlessness or terrorism; and accident or illness in remote regions without means of rapid evacuation or medical facilities. The Company will not have liability regarding provision of medical care or the adequacy of any care that may be rendered.

Release of Liability: In consideration of the services and arrangements provided by Freedom Travel Planners, you, for yourself and for your heirs, personal representatives or assigns, do hereby release, waive, discharge, hold harmless and agree to indemnify the Freedom Travel Planners, and its owners, officers, directors, agents and employees from any and all claims, actions, or losses for bodily injury, property damage, wrongful death, loss of services, lost profits, consequential, exemplary, indirect or punitive damages or otherwise which may arise out of or occur during your travel and any activities conducted in conjunction therewith. YOU SPECIFICALLY UNDERSTAND THAT YOU ARE RELEASING, DISCHARGING AND WAIVING ANY CLAIMS OR ACTIONS THAT YOU MAY HAVE PRESENTLY OR IN THE FUTURE FOR THE NEGLIGENT ACTS OR CONDUCT OF THE OWNERS, DIRECTORS, OFFICERS, EMPLOYEES OR AGENTS OF Freedom Travel Planners.

The right is reserved to withdraw any program on this website and/or make such changes in the program(s) as may be found desirable for the convenience of the parties and the proper carrying out of tour(s). The booking confirmation and these Terms and Conditions represent the entire agreement between the Company and all passengers. You confirm that you have not entered into this contract with the Company on the basis of any representation not expressly incorporated into these documents.
